Free vs Paid Pharmacy Software

When you are setting up or running a medical store, "free pharmacy software" sounds like an easy win. Margins are thin, and every rupee saved on software feels good. But a medical store is not a general shop. A mistake on expiry, GST or Schedule H1 records can cost far more than a software subscription.

This guide gives you an honest comparison of free and paid pharmacy software, so you can decide what fits your store. We are a paid software provider, so we will be upfront: free tools have a place. The question is where they stop being enough.

How "free" pharmacy software usually works

Free pharmacy software generally falls into one of these models:

  • Free forever, with limits. Basic billing is free, but features, bills, users or products are capped.
  • Free trial. Full features for a limited period, after which you must pay.
  • Free plus paid add-ons. The core is free, but things like backup, reports or support cost extra.
  • General billing apps. Free invoicing tools that are not built for pharmacies at all.

Someone pays for the software somewhere, through upgrades, add-ons or limits. Knowing which model you are looking at helps you avoid surprises later.

What you may give up with free software

1. Pharmacy-specific features

A general billing app handles items and totals. It usually does not understand batches, expiry dates, Schedule H and H1 medicines, or MRP-inclusive tax. Without these, you end up keeping side registers and Excel sheets.

2. Batch-wise expiry tracking

This is the biggest gap. If the software tracks only total quantity per product, it cannot warn you about near-expiry batches or help you sell the earliest-expiring stock first. Expired medicines are direct losses.

3. Schedule H1 register

Many free tools skip this. If the register is not built into billing, you must write it by hand, which defeats the purpose of software.

4. Proper GST handling

Check whether the tool supports different GST rates per product, HSN codes, CGST/SGST/IGST splits and clean GST reports for your CA. A free tool that misses these creates work at filing time.

5. Automatic backup and data safety

If your data sits on one computer with no backup, a hard-disk failure or theft can wipe out years of records. Reliable cloud backup is often a paid feature, and it is worth it.

6. Support when you need it

When billing stops during a busy evening, you need someone to answer. Free plans often offer only a help article or a forum, with no phone or WhatsApp support.

7. Updates when rules change

GST rates and compliance rules change from time to time. Paid software is more likely to be updated quickly. A neglected free tool may lag behind.

8. Growth features

Multi-counter billing, multiple users with permissions, multi-branch reports, credit management and reorder alerts are usually the first things placed behind a paywall.

The hidden costs of free software

Free software can be costly in ways that do not show on a price tag:

  • Time. Staff spend extra minutes on every bill working around missing features.
  • Expiry losses. Without batch alerts, unsold stock expires on the shelf.
  • Errors. Manual tax calculation and manual registers invite mistakes.
  • Switching pain. Moving data later from a limited tool to a better one takes effort, especially if you cannot export your data.
  • Compliance risk. An incomplete H1 register is a bigger problem than a software fee.

If a paid plan saves you even a small amount of expired stock each month, it can pay for itself.

When free software is perfectly fine

Free tools make sense when:

  • You are testing an idea and are not yet open for business.
  • You run a very small store with low volume and simple needs.
  • You only need it temporarily, while you evaluate other options.
  • You are learning how pharmacy billing works.

In these cases, a free tool is a reasonable starting point, as long as you can export your data when you outgrow it.

When you should move to paid software

It is time to switch when:

  • You are losing money to expired stock.
  • You sell Schedule H1 medicines regularly.
  • Your CA keeps asking for corrections in GST data.
  • You have more than one billing counter or staff member.
  • You give a lot of credit (udhaar) and struggle to track dues.
  • You want your data backed up and accessible from your phone.

A fair checklist for comparing options

Whether the software is free or paid, ask these questions before you commit:

  1. Does it track stock batch-wise with expiry?
  2. Does it support Schedule H and H1 records?
  3. Is GST billing and reporting complete?
  4. Is my data backed up automatically?
  5. Can I export all my data if I leave?
  6. What are the limits on bills, users and products?
  7. How do I get support, and how fast?
  8. What is the real total cost after add-ons?

The answers usually make the decision obvious.

The best of both: try before you pay

The safest way to decide is to use a free trial with your real data. Add some actual medicines, make GST bills, check the expiry report and bill an H1 medicine. A good trial tells you more in an afternoon than a feature list can.

Orvia's pharmacy software is built for Indian medical stores, with GST billing, batch and expiry tracking, Schedule H/H1 records and credit management in one place. The trial lasts 14 days with unlimited products and bills, and paid plans start at Rs. 999 a month, so you can compare the real cost with real use before you decide.

Final thoughts

Free pharmacy software is not a bad idea, but it is rarely free in the long run. If your store is small or you are still evaluating, start free and learn. If expiry, compliance and cash flow matter to your business, and they do for every chemist, a pharmacy-specific paid tool usually costs less than the mistakes it prevents.
