Schedule H and H1 Register for Medical Stores: What to Record and How to Stay Inspection-Ready

For most chemists, the stress is not selling medicines. It is the day the drug inspector asks, "Show me your Schedule H1 register." If the register is incomplete, handwritten in a hurry, or missing entries, a routine visit can turn into a problem.

This guide explains, in simple language, what Schedule H and H1 drugs are, what a medical store needs to record, and how Schedule H1 register software removes the daily paperwork. It is a practical overview, not legal advice, so always confirm exact requirements with your state drugs control department or a qualified pharmacist.

What are Schedule H and Schedule H1 drugs?

Under India's Drugs and Cosmetics Rules, certain medicines can be sold only on the prescription of a registered medical practitioner.

  • Schedule H drugs are prescription-only medicines. Their label carries the line "Schedule H drug, warning: to be sold by retail on the prescription of a Registered Medical Practitioner only."
  • Schedule H1 drugs are a stricter category introduced to control misuse, especially of certain antibiotics, anti-TB medicines and some other drugs. Their label carries a red "Rx" symbol and a warning that the drug is to be sold only on prescription and that the chemist must keep a record.

The key difference is the record-keeping. For Schedule H1, a separate register is required.

Why the Schedule H1 register exists

The purpose is public health. Antibiotic resistance and misuse of strong drugs are serious problems, and the register creates a trail showing who prescribed what, to whom, and how much was dispensed. It protects patients, and it also protects you, because it proves you sold the medicine against a valid prescription.

What the Schedule H1 register should contain

As per the rules, a chemist selling Schedule H1 drugs keeps a register with these details for each sale:

  • Name and address of the patient
  • Name and registration details of the prescribing doctor
  • Name of the drug and the quantity supplied
  • Date of supply
  • Batch number of the medicine

The prescription itself should also be kept, and the register is generally required to be preserved for three years and shown to the inspector on request. Check your state's current instructions, since practices can vary in how they are enforced.

Handling Schedule H prescriptions

For ordinary Schedule H medicines, a separate H1-style register is not the norm, but good practice still matters:

  • Sell only against a valid prescription.
  • Check that the prescription is current and signed by a registered practitioner.
  • Mark or stamp the prescription with your shop details and the date of supply.
  • Do not repeat a sale without a fresh prescription unless the prescription permits refills.

Many stores keep Schedule H sales in the same system as H1, so everything is traceable in one place.

Common mistakes medical stores make

  1. Writing the register at the end of the day. Entries made from memory are often wrong or incomplete.
  2. Missing batch numbers. The batch is important if a recall happens.
  3. Illegible handwriting. An inspector cannot verify what they cannot read.
  4. Not keeping prescriptions. The register and the prescription should match.
  5. Selling H1 drugs without a prescription for a known customer. It is tempting for regulars, but it is not allowed.
  6. Losing old registers. If the register is not available for the required period, you can face action.

How software makes the H1 register automatic

Manual registers are slow, and mistakes are easy during a rush. Good pharmacy software tracks Schedule H and H1 medicines automatically:

  • Product flagging. Mark a medicine as Schedule H or H1 once, and the software treats it correctly every time.
  • Prompt at billing. When you add an H1 drug to a bill, the software asks for patient name, doctor name and registration number, so the register is filled at the time of sale.
  • Batch captured automatically. The batch and expiry from the bill flow into the register without retyping.
  • One-click register report. Print or export the register by date range when the inspector visits.
  • Searchable history. Find any past entry by drug, patient or doctor in seconds.
  • Safe storage. Digital records with backup mean you do not lose years of data to a damaged notebook.

This is what to look for in Schedule H1 register software: it should capture the details during billing, not as an extra task afterwards.

A quick inspection-readiness checklist

  • Is every Schedule H1 sale recorded with patient, doctor, drug, quantity, date and batch?
  • Are prescriptions stored and matched to register entries?
  • Can you print the register for any date range in a minute?
  • Are old records preserved for the required period?
  • Are your staff trained on which products are H and H1?

If any answer is "no", fix it before the next inspection, not after.

Final thoughts

The Schedule H1 register is not meant to make your life harder. It is a simple record that proves you sold the right medicine, to the right patient, on a valid prescription. Doing it by hand is possible, but doing it automatically at the billing counter is faster, cleaner and far safer when the inspector arrives.
